Set product sharing policy on Grok Business

Team admins set the widest audience members may pick when sharing Grok Business resources. Members can always share more narrowly than the ceiling. Official guide: License & User Management → Sharing policy.

Where to configure

On console.x.ai, open your team’s Sharing & Retention settings → Product Sharing. Each resource type has its own policy: conversations, projects, and skills.

Policy ladder

Level	What members can do
Private	Sharing is off for that resource.
Team	Share with individual teammates and the member’s own team. Organization-wide and cross-team sharing are blocked.
Organization	Everything Team allows, plus sharing across teams and with everyone in the organization.
Public	Everything Organization allows, plus public links anyone can open (including outside the team).

Public links apply to conversations only. Projects and skills stop at Organization.

Defaults from the docs: conversations and projects start at organization-wide; skills start at Private.

After you tighten

A stricter ceiling applies immediately. Members cannot create shares wider than the new level. Access on existing shares that sat above the new ceiling is restricted to match.

Pitfalls

• Setting skills to Public is unavailable — the ladder caps skills (and projects) at Organization.
• Tightening does not wait for a next login; existing wider shares lose reach right away.
• This page is the org sharing ceiling — per-item share pickers still let members choose any level at or below it.
